Playbooks

Playbooks allow you to template all the key elements required from a certain matter.

Overview

With playbooks, key elements of a matter can be templated so that users can kick-start matters without having to start from scratch everytime.

This also means users can ensure that best practice is followed whenever a new matter is created and knowledge can be retained and shared across an organisation.


Where to find playbooks?

Playbooks can be found on the navigation bar on the left-hand side. There you will find all the playbooks that have been created by our organisation.
External users will only see the Playbooks they have been invited to.

How to create a playbook?

  • To create a playbook:

  1. Click on "Create Playbook" in the top right corner

  2. Fill in the fields that you need to be populated. The only required field is "Playbook Name"

  3. At the bottom right, click "Add triggers"

  4. Add any relevant triggers to the playbook.

  5. Once finished, click "Invite Participants"

  6. Invite the relevant users. For more details of what this entail see the section called "Sharing a playbook with other users"

  7. Review your playbook and click "Finish"

  • Adding items to your playbook


    Once your Playbook has been created, you can start templating items by navigating the different tabs at the top such as:

    • Blueprint items

      • Workstreams, deliverables and tasks

      • Assignees - if a user is assigned to a task within a playbook, and they are invited to a matter created using that playbook - the assignment will automatically carry over.

    • Events

    • Triggers

    • Folders & Documents - When a new matter is created, the folders and documents templated within the playbook will be imported.


Linking a playbook to a matter type

When creating or editing a Playbook, you can link it to a matter type as shown in the video below.
If a playbook is linked to a matter-type, whenever a new matter is created using that playbook, the matter-type's custom fields and statuses will be available.

Sharing a playbook with other users

When creating a Playbook, you can invite other users to the Playbook within the "Invite Participants" section. You can also do this at any time by clicking the "Share" button at the top right.

Any Member user can see all Playbooks that have been created. They are not able to edit a Playbook unless they've been invited to it.
External users will only be able to view and edit Playbooks they have been invited to.

Adding participants to a Playbook also means you can template task assignements by adding any invited participant as an assignee on a task.

Using Playbooks to create matters

When creating a new matter (standalone or within a portfolio), users will be able to choose available Playbooks - when doing this all the items that have been templated on the Playbook will be imported into the new matter allowing for efficient and fast matter set-up.
