This article covers how admin users can use custom fields, custom statuses, portfolio and matter type to configure and customise Fibonacci.

Overview

Custom resources allow you to customise Fibonacci to suit the needs of your different practice areas and projects. There are 4 different custom resources in Fibonacci:

  • Custom fields

  • Portfolio types

  • Matter types

  • Statuses

These are accessible to Admin users through the settings icon at the bottom left of Fibonacci.

  • Custom fields can be linked to portfolio and matter types.

  • Statuses can be linked to matter types.

  • Portfolio types and matter types can be linked to dictate what type of matters can be created within a certain portfolio type.

Portfolio Types

  • Portfolio types will be available to all member users whenever they create a new portfolio.

  • Through portfolio type, you can:

    • Define what custom fields are available for any new portfolio created.

    • Define what feature modules are available for the portfolio and the matters created within that portfolio.

    • Make a list of matter types available through portfolio and matter type links.

Linking Portfolio & Matter Types

  • You can link portfolio types with matter types to control what type of matters are created within a portfolio.

  • You can create this link when creating or editing a portfolio or matter type.

  • For example, you could have a portfolio type called “Brand Infringements” and link it with the matter types:

    • Company Name infringement

    • Content infringement

    • Domain infringement

  • This will allow you to ensure the correct matters are used within portfolios

Matter Types

  • Through matter types, you can decide what custom fields and statuses are used within a certain matter.

  • Custom fields enabled for matters will be visible as part of the left-hand panel of a matter.

  • They will also be available as columns allowing users to customise the information displayed in the matters index within a portfolio.

  • For example, with a “Lead Lawyer” field the matters index can be sorted or filtered to quickly identify who is the owner of each matter.

Custom fields

  • Custom fields relate to the key information a user can add values for when they create a portfolio or matter.

  • You can use custom fields to ensure that users add the required information when a portfolio or matter is created. This information will then be visible as part of the left-hand panel of a portfolio or matter. In the screen below, you can see the custom fields "RFP Allocation", "Brand", "Date reported" and "Risk".

  • Custom fields can be shared between different portfolio and matter types.

  • To create a custom field, go to the Custom fields section within the global settings and click on “Create custom field”. You’ll then be presented with different options.

    • Text - for any free text values. With the type option, you can select between “single line” or “textbox” for a larger input area.

    • Date - for a single date or date range. Date format options allow you to customise how the dates will be displayed. Check the “date range” checkbox if the field requires a range.

    • Number - for any number value. The options allow you to have auto-comma to separate thousands. You can also select the number of decimal places.

    • Checkbox - you can select the different items that will appear with a checkbox next to them. Multiple items can be checked when the field is used.

    • Radio - to provide options a user can choose from. They will only be able to select one option when the field is used.

    • Dropdown - to provide a list of options that users can choose from. They will be able to select multiple items.

    • People - to select other users as part of the field. They will only be able to select users invited to the portfolio or matter.

    • List - for a number of list items. Users will then be able to add values for each list item. There’s also an option to number the list.

  • With all custom fields, you have the option to make them “required”. If a custom field is required, then it cannot be left blank when a portfolio or matter is created and uses that custom field.

Statuses

  • Through custom statuses, you can define different statuses for a given matter type and their colour for visual reference.

  • This allows you to update the status to reflect the state of a given matter whenever there are some changes or the matter progresses.

  • In the screenshot below, you can see how a matters index looks with different custom statuses.

  • Statuses can be shared by different matter types.
