Fibonacci has a unique Portfolio and Matter structure which provides you with a lot of flexibility. Before you create your project it’s important to think about the best way to make use of Fibonacci’s features. To help you we’ve set out some examples below.

Should I use a Portfolio and Matters?

A Portfolio should always be set up for a single organisation because we need to ensure that data is kept secure. The way you set up your Matters within the Portfolio should reflect the work that needs to be done. Here are some examples:

  1. M&A Real Estate transaction - a single Portfolio was set up for the project with Matters for each property that was being transferred. Teams were assigned to Matters based on their jurisdiction and they didn’t have permission to see any other Matters. This meant that they were focused on the work they had to complete. The coordinating team was assigned to the Portfolio (and all Matters) so they could automatically see the status of all the Matters and interact at the Matter level where needed.

  2. Employment Tribunal litigation - a single Portfolio was setup for an Organisation and a Matter Playbook was used to create new Matters each time a new tribunal matter was initiated. Different team members were assigned to each Matter and each progressed at its own pace. Because all of the litigation Matters were part of the same Portfolio the relationship manager had one place where they could go to report on the status of all the ongoing litigation.

If you are working on a project for an organisation that will have a number of different teams or jurisdictions working concurrently then you will likely want to set up a Portfolio with a number of Matters in it. Likewise, if you’re going to be doing the same type of work for a single Organisation then you might consider setting up a Portfolio with Matters for each distinct piece of work.

Should I use a standalone Matter?

Similar to a Portfolio, a Matter is also always set up for a single Organisation. If you’re working on a small project and you only need a single work plan then you can set up a standalone Matter. You will still have access to all of the Fibonacci modules so that you can configure a Matter in a way that makes sense to you.
