Users can now assign documents to others through the comments section to aid document management and collaboration.

This article will outline how you can assign documents to others through the comments section within the Drive feature.

Document management and collaboration has been made that much easier with Fibonacci Drive.

Users can now assign documents to others through the comments section to aid document management and collaboration. With greater visibility on who is responsible for what, you can now have a better understanding of document status and collaborate in real-time. This streamlines the document management and collaboration process, allowing you more time and freedom to focus on the finer details of a document.

Assigning a document

Before you start to assign a document, it is important to note users can assign a document to any individual who has access to that particular document.

To assign a document, open the drive in the relevant portfolio or matter and follow these steps:

  1. Select the document you wish to assign

  2. Click on the comments tab

In the bottom right corner, there is a comments section:

  1. Add any relevant comments (detail what you would like edited or reviewed)

  2. Mention the user you’d like to assign the document to using the ‘@’ symbol

  1. Click on the dropdown arrow and choose from the list of names to assign

Note: If required, you are able to mention multiple users but only assign one individual.

  1. Remember to select the checkbox ‘assign to x user’

  2. Click on assign

You should see a success message stating user has been assigned. You can keep track of these assignments in the comments section. It is important to remember you can only assign documents to a user who has access to the specific document.

Resolving a comment

Now, that you’ve actioned the comment assigned to you. We need to look at how you update the comments section to keep track of document progress. This provides an indication that the assigned user has completed this part and is ready for the next step or to hand over the document to another user. To resolve a comment, follow these steps:

  1. Open the relevant document which has been assigned to you

  2. Click on the ‘comments’ tab

  3. Navigate to the required comment

  4. Select ‘resolve for me’

Additionally, to ensure no assignment is left unresolved document owners and the thread creator are able to mark assignments as resolved for everyone. To do this, follow these steps:

  1. Open the relevant document

  2. Click on the ‘comments’ tab

  3. Navigate to the required comment

  4. Select ‘resolve for everyone’

View documents assigned to you

All users will get an email each time they are mentioned in document comments. To view all documents assigned to you, navigate to the drive index. Here, you can easily view all the documents that have unresolved assignments for the portfolio or matter you have open. This allows you to easily view all assignments without diving into folders and sub-folders. Allowing you greater ease when prioritising assignments. This further streamlines the document management and collaboration process.
