Uploading & Managing documents

In this article, we will cover how you can upload, manage and collaborate on documents inside the Drive feature module.

Uploading documents

To upload documents in Fibonacci, simply click the “upload” button at the top right when you are in the Drive.

This will open the document upload pop-up from which you can upload documents.

  • You can check which folder you are uploading to through the breadcrumbs at the top of the modal. The default upload location will be the folder you are currently in.

  • You’ll also be able to rename the document you are uploading, add tags or link blueprint tasks to the document.

  • The next step is to choose who will have access to the document, you can choose to share it with all folder members or not. This option is turned on by default.

  • You can also set individual permissions for the documents you are uploading.

Selecting multiple documents

To manage multiple documents easily, you can select multiple documents through the checkboxes when you hover on the left-hand side.

When you have multiple documents selected, you can:

  • Drag and drop them into or out of a folder.
    Note: You must be an owner of both the documents you’re moving and the target folder destination to move documents. This prevents users from “promoting” themselves to owners.

  • Delete them. Simply click the “Delete” button at the top-right. Please remember that only owners are allowed to delete documents.

Managing and collaborating on a document

When you open a document in Fibonacci, it will be opened in a new tab.

From there, you can preview the document and can also take the following actions depending on your permissions.

  • Check out the document (see the “Creating a new version” section below).

  • Edit the document permissions through the "Share" button.

  • Download the document.

  • Through the 3-dot menu of the document, you can delete it.

You can also navigate to the following tabs:

  • Information: to view the document description and check who has access to it.

  • Versions: to view the different versions of the document

  • Logs: to check who accessed the document, who checked it out or checked in a new version.

  • Tasks: to view any linked tasks.

  • Comments: view or add a comment to the document.

Check out & upload a new version

With Fibonacci, you can easily add new versions of a document.

First, you’ll need to check out the document. To check out a document, simply click the “check-out document”. You will then be prompted to either only check out the document or check out and download the document.

When a document is checked out, it is indicated as such as shown on the screen below. You can then either upload a new version using the “check-in” button or release the document using the “release” button.

When viewing this checked-out document, other users will see a button allowing them to send an email reminder to the user that checked out the document.

Adding tags to a document

Within a document, you can add tags by going to the "Info" tab and within the "tags" section, clicking the text area. You can then select the relevant tags from the dropdown menu.

Linking documents together

Within a document, you can link documents together by going to the "Info" tab and within the "Related documents" section, clicking the text area. You can then select or search the relevant document to link.

Viewing document versions

You can easily check a document's version by going to the “Versions” tab of a document.

There you will be able to see what is the latest version and who uploaded it.

You can preview previous document versions by clicking on the corresponding version within the tab.
