In this article, we'll cover how you can use the events & timeline feature module.

Overview

The Timeline module offers a range of features to help users plan and manage their projects, including the ability to create, edit, and delete Events, assign them to team members, add priorities, set reminders and notifications. To help you organise Events you can create a dynamic Event Type list which

Events are displayed in a calendar view with a list of Matters on the left to provide context. Where there are a number of Events on the same date or in the same date range these are aggregated and displayed in a pop-up to keep the interface nice and clean.

Owners can also choose to surface important Blueprint Tasks on the Timeline so that there is a single source of truth for what needs to be done and when. The Timeline can be viewed in various date ranges to help everyone plan ahead and see where things may get busy.

The Timeline module is a way for Portfolio or Matter Owners to effectively communicate project expectations and goals to everyone involved in the project. It is an important reporting tool which can be seen by all Portfolio or Matter Participants so you need to think carefully about what to display. Avoid the temptation to add too much detail.

Create an event

  1. You can create an Event from within a Portfolio or a Matter. The process is the same.

    1. Navigate to your Portfolio or Matter

    2. Click on "events" on the right-hand side panel

    3. Click on "create event"

  2. Add the Event information

    1. Title

    2. Location

    3. Date(s) - you have a number of options

      1. Add a Start & End date - if you know when the Event will occur. You can select “Set as estimate” if you’re unsure.

      2. Dates to be determined - if you don’t know when the Event will occur

    4. Description

  3. Add an Event type

    1. Event Types are used to filter the Timeline

    2. Start typing and you will see a list of relevant Event Types (if used before)

    3. If your Event Type is new select “Add” in the dropdown

  4. Assign to Participants:

    1. Begin typing the name of the Participant to search for them.

    2. Select the Participant to add them

  5. Set a Reminder

    1. You can set-up one or more reminders at intervals of your choosing before an Event begins. All event participants will receive a reminder notification in Fibonacci and also by email.

    2. Select your time interval and click on the green tick.

    3. If your Event is scheduled for “All Day” then you will need to choose your specific reminder time and time-zone.

  6. Link to a matter, workstream or deliverable

    1. When creating events at the portfolio level, you can link the event to a specific matter within the "Assigned matter" section. If left empty, the event will be a portfolio event.

    2. You can also link the event to any workstream or deliverable the event relates to.

Create events


Viewing Events within a Portfolio or Matter

There are three ways you can view Events within Fibonacci:

  1. You can view a list of Events from within a Portfolio or a Matter:

    1. Navigate to your Portfolio or Matter

    2. Click on "Events" on the right-hand Information Panel

    3. Use the filters to select the type of Events you want to see and/or when the Events will occur

    4. Each Event indicates which Matter it belongs to

    5. Click on the name of the Event to access more information and make changes

  2. You can view an index of all Portfolio or Matter Events:

    1. Navigate to your Portfolio or Matter

    2. Click on "Events" on the right-hand Information Panel

    3. Click the open icon on the right above the “Create Events” button.

  3. You can view Portfolio or Matter Events on the Timeline:

    1. Navigate to your Portfolio or Matter

    2. Select the “Timeline” tab

    3. Select the timeframe you want to view from the dropdown

    4. Use the left and right arrows to move forward or backwards in time

When you open the Timeline from within a Portfolio you will see all of the Events from the underlying Matters displayed. The Events are grouped by Matter down the left side of the screen. You can see and access the Events by hovering over the Event icon.

Adding a Workstream, Deliverable or Task to the Timeline

Adding items from the Blueprint to the Timeline allows you to visualise important parts of your work plan for stakeholders without duplicating data. If there is a change to the dates of the Task then this is automatically reflected on your Timeline. An example of a Task you want to surface on the Timeline might be a shareholder meeting or a deadline for filing evidence.

To surface a Blueprint item on the TImeline:

  1. Navigate to your Portfolio or Matter

  2. Select the “Timeline” tab

  3. Select ”Show Blueprint”

  4. In the popup menu search for or select the relevant matter and select the Blueprint items which you want to surface on the Timeline. You can choose to surface single items or a parent item as well as all its children.
    Tip: To select all items within a workstream, click on the workstream, deselect it and then select it again. The 1st selection only selects a single item while the 2nd one also selects all its children.

  5. Click on “Apply” when you’re complete

  6. If you need to remove all Blueprint items click on “Clear Selection”.

Note: Only Portfolio or Matter Owners can surface Blueprint items onto the Timeline as it is visible to all Participants.

Exporting the Timeline

The Timeline is a curated view of what is happening on the Portfolio or Matter. It’s often used by stakeholders to understand what is coming up next and where there might be competing activities. To support better project reporting we’ve created a customisable export of the Timeline which you can configure based on the needs of your audience.

To export the Portfolio or Matter Timeline:

  1. Navigate to your Portfolio or Matter

  2. Select the “Timeline” tab

  3. Open the 3-dot menu in the top right of the screen and select “Export timeline”

  4. The default export will include everything which is visible on the Timeline.

  5. You can change what Blueprint objects are surfaced on the export from within the menu:

    1. Click on Portfolio/Edit to change what Blueprint objects are displayed

    2. Click on Events/Edit to change which Events are displayed

  6. Select your preferred date range by clicking on the existing date range

  7. Select which logo to include in your export

  8. Select the File Type, Orientation and Paper Size

  9. Select “Export Timeline”
